All departments of ILM are obligated to fulfill the terms of the policy contracts by prompt and efficient action to provide quality service, and satisfy the needs of policyholders, agents, and claimants.
Underwriting
The Underwriting Department takes responsibility in risk selection, assessment of exposures, coverage determinations, and the pricing of all accounts. The exposure assessment includes gaining a thorough understanding of the insured’s operations, identifying the associated hazards, and determining how the insured controls those exposures. The decision to accept or decline the risk is made only after a thorough analysis of the exposures present within the risk. After gaining a comprehensive understanding of the needs of the insured, the next step is to work with the producer to determine the appropriate coverages to provide the best protection for the insured. Finally, the price, known as the premium, is calculated to insure the exposures and provide coverage to the insured as outlined in the policy. The premium contemplates the loss dollars needed to fund for losses that incur during the year, the expenses associated with servicing our customers, and includes a profit to provide for the future health of the Company.
Claims
The first aspect of claims handling is investigating the facts and coverages relating to the loss. This investigation process begins within 24 hours of receipt of any new claim. Once the investigation is complete, the claim is evaluated for compensability and/or liability, and the potential ultimate cost. It is an important function of the Claims Department to accurately evaluate our exposure on all open claims and reserve accordingly. The claim is then finalized through negotiation and settlement. In an instance where we are unable to resolve the claim without the necessity of litigation, we aggressively provide a defense for our policyholders. Throughout this process, as well as the many others, the Claims Department is providing very important customer service to our policyholders.
Loss Control
The Loss Control Department evaluates the exposure and loss potential of our policyholders and prospective policyholders. This is done through the completion of surveys that include risk evaluation, hazard identification, and recommendation development and follow up, and assistance in developing safety programs. Through effective communication with the policyholder, the underwriter, and the account representative, this department’s intent is to control losses and reduce exposures.
Information Systems
The function of the IS Division is to assist the Company in servicing our insureds, agents and management staff by utilizing computers which collect, process and store vital information concerning our policies, claims and accounts. The division is divided into three broad areas: systems/programming, computer operations, and network administration. The systems and Programming staff design, write, and maintain the computer programs, which translate raw data into meaningful reports. The computer operations staff oversees the execution of programs that update the corporate policyholder database files, and generates and distributes the output reports from the system. The networking area is responsible for the personal computer and file server hardware and software, and connectivity to the Local Area Network and Wide Area Network.
Financial
The primary function of this division is to control and publish financial and statistical information of all companies within the Indiana Lumbermens Group. In addition, the responsibility of insuring that proper safeguards are maintained for all the companies’ assets rest within this area.
Investments, premium financing, accounts receivable, accounts payable and reinsurance accounting are some of the responsibilities handled by this division.
Human Resources
The Human Resources Department is responsible for three major activities within the Company:
- Employment and Employee Relations
- Compensation and Benefits
- Training and Development
These activities are developed, administered, and monitored by the Human Resources staff. Human Resources also plans company events and activities, maintains all company personnel files, and oversees recruiting efforts. Your suggestions and ideas are welcome.
Mail Supply
This department processes all incoming and outgoing mail. All incoming mail is opened, time and date stamped, and delivered throughout the Home Office. All outgoing mail and parcels are put into envelopes or packaged, weighed, stamped and delivered to the Post Office periodically throughout the day. Management of office space planning, purchasing of furniture and equipment is also maintained by this department.
Regulatory Compliance
This department combines several administrative areas into one unit. The State Filings area works with various state insurance departments in complying with all licensing and rate approval requirements. The statistical area is responsible for all corporate statistical reporting to various rating bureaus. The workers’ compensation statistical reporting area oversees the reporting of workers’ compensation statistical data to rating bureaus on an individual per risk basis.
Marketing
The Marketing Department has three major areas of responsibility:
- To evaluate and improve ILM products and services to our customers through internal and external training, policyholder surveys, internal input and continual review and enhancement of our policies, coverages, services and promotion materials.
- Evaluate ILM’s performance by state, territory, coverage, and business class in regard to loss experience, expenses, premium volume, and insurance department filings and make recommendations based on results.
- To market and promote ILM’s products and services through advertising, direct mail and promotional brochures/fliers
Customer Assistance Service Team
The Customer Service Team is the first point of contact for most of our insureds, Account
Representatives and agents. The team members have five major areas of responsibility:
- First and foremost, assist our policyholders on all service needs
- Assist the Claims department with new losses and general inquiry questions
- Assist the Underwriting department by issuing Certificates of Insurance, Binders and ID Cards, etc.
- Assist the Account Representatives by providing renewal information 90 days in advance
- Assist the Accounting department in communicating payment balances and customer inquiries
